💡 QuickBooks Quick Tip for Home Service Businesses:

Material costs keep changing, QuickBooks Projects can help you understand which jobs are actually profitable.

Many contractors and home service owners quote jobs based on estimated material costs, but inflation and supplier price increases can quickly eat into margins. Using the Projects feature in QuickBooks allows you to track labor, materials, subcontractors, and overhead by individual job so you can compare estimated vs. actual costs.

This gives you better visibility into:
✔️ Which jobs are making money
✔️ Where material overruns are happening
✔️ Whether pricing needs adjusted going forward

Without project tracking, it’s easy to stay busy while profits quietly disappear.

Bookkeeping isn’t just recording transactions — it should help you make smarter business decisions.

📊 Balance Sheet Basics for Small Business Owners

A lot of business owners look at their Profit & Loss statement, but ignore the Balance Sheet.

Your Balance Sheet is important because it shows the overall financial health of your business at a specific point in time.

Here’s the simple version:

🔹 Assets = What your business owns
Examples: bank accounts, equipment, vehicles, accounts receivable

🔹 Liabilities = What your business owes
Examples: loans, credit cards, unpaid bills

🔹 Equity = What’s left after liabilities are paid
Think of this as your ownership value in the business.

Formula:
Assets – Liabilities = Equity

Your Balance Sheet helps answer questions like:
✔️ Can I afford new equipment?
✔️ Am I carrying too much debt?
✔️ Is my business financially improving over time?
✔️ Why is cash tight even when sales are strong?

Understanding your financials doesn’t require an accounting degree, just clear reporting that actually makes sense.

🚨 HOME SERVICE BUSINESS OWNERS: WATCH FOR THESE MONEY LEAKS 🚨

A lot of businesses don’t actually have a sales problem…
They have a CASH LEAK problem. 💸

Small things quietly drain profit every month:
❌ Unbilled work
❌ Missed change orders
❌ Materials never invoiced back to customers
❌ Slow-paying customers
❌ Techs driving inefficient routes
❌ Subscriptions nobody uses anymore
❌ Pricing that hasn’t kept up with costs

The hard part?
Most owners don’t notice the leaks until cash flow gets tight.

That’s why clean bookkeeping matters.

Your numbers should help you answer:
✔ Which jobs are actually profitable?
✔ Where is money disappearing?
✔ Are we pricing correctly?
✔ Are we growing profit… or just staying busy?

Busy does NOT always mean profitable.

Clean books = better visibility.
Better visibility = better decisions.

💭 “Bookkeeping is just data entry.”

That might be one of the biggest misconceptions in small business.

Real bookkeeping is about understanding the story behind the numbers, not just clicking buttons in QuickBooks.

Good bookkeeping helps business owners:
✔ Understand cash flow
✔ Know what’s actually profitable
✔ Catch mistakes before they become expensive
✔ Make confident decisions
✔ Stop scrambling at tax time

Most business owners don’t need MORE reports. They need financials that actually make sense.

That’s why clean, accurate books matter.
Because bookkeeping should support your business not hold it back.

The question is: are your books telling the right story?

Bookkeeping Is Boring…

Most business owners didn’t start their business because they LOVE reconciling transactions, categorizing expenses, or chasing missing receipts. 😅

You started your business to build something.
To serve customers.
To make money.
To grow.

That’s where a good bookkeeper comes in.

📊 We’ll handle the spreadsheets, reconciliations, and month-end headaches, so YOU can focus on running the business.

Because while bookkeeping might not be exciting, messy books are VERY exciting at tax time — and not in a good way.

Clean books =
✔ Better cash flow visibility
✔ Smarter business decisions
✔ Less stress
✔ Faster tax prep
✔ More confidence

Let us bookkeepers have all the fun with the numbers. 🤓

💳 “I’ll just pay it and sort it out later.”

That’s one of the fastest ways small business books get messy.

If you paid a legitimate business expense using your personal card or checking account, don’t ignore it in QuickBooks Online. It still belongs in your books.

✅ Record the expense to the proper business category
✅ Code the payment source to Owner’s Contribution or Shareholder Contribution (depending on entity structure)
✅ Keep the receipt/documentation

Avoid mixing personal and business spending whenever possible.

Why it matters:
Your Profit & Loss stays accurate without understating business expenses. CPA gets cleaner books at tax time, and you can track how much money you personally put into the business

A lot of small business owners think bookkeeping is only about what hits the business bank account. It’s actually about capturing the full financial picture of the business.

Clean books = confident decisions.

Bookkeeping Tasks Business Owners Shouldn’t Ignore.

Biggest Mistake Small Business Owners Make Waiting until tax season to “catch up” bookkeeping.

By then:
* Decisions were made without accurate numbers
* Cash flow issues already happened
* Missed deductions are harder to find
* Cleanup work becomes more expensive

Good bookkeeping works best when it’s consistent.

Clean books aren’t just for taxes, they help owners make confident business decisions all year long.

Out-of-Town Jobs Look Great… Until Travel Expenses Hit

If you or your crew travel for jobs, make sure those travel expenses are being tracked correctly in QuickBooks.

Too many businesses dump everything into one generic “Travel” account, which makes it hard to see where money is actually going.

Instead, separate expense:
* Hotels
* Meals
* Fuel
* Airfare
* Tolls & parking
* Per diem reimbursements

Pro tip attach receipts directly inside QuickBooks using the mobile app.

Why this matters: Cleaner records at tax time, easier job costing for out-of-town projects, and better visibility into which jobs are truly profitable

For home service businesses doing installs, storm work, or multi-day projects, travel costs can quietly eat into margins fast.

If you’re not tracking them properly, you may think a job was profitable when it really wasn’t.
