Quick Tip for Small Business Owners: Is Your Sales Pipeline Lying to You?

Ever look at your dashboard and see "open sales orders" from months—or even years—ago that you know were already fulfilled or canceled? It’s a common issue that sneaks up on busy businesses, but leaving them open can cause some real headaches behind the scenes.

Here is what you need to know about cleaning them up:

Why Clean Them Up?

Open sales orders are commitments to future sales. If they are actually dead or already completed, leaving them open:
Distorts your reporting: It inflates your open pipeline, making your sales forecasts look artificially high.

Messes with inventory tracking: Many systems allocate inventory to open orders, which can mistakenly tell your team you're out of stock when you aren't.
Creates clutter: It makes it much harder to spot the actual active orders that need your team's attention.

Who Needs to Handle This?
This is a team effort!

Sales/Operations Teams should regularly review the queue to identify which orders are canceled, duplicated, or fully shipped.

The Bookkeeping/Finance Side (like us!) ensures that if an order was fulfilled, it was properly converted into an invoice so no revenue was left on the table.

Best Practices to Clean It Up
Run an Open Orders Report: Filter by date to find anything older than 30 to 60 days.
Investigate the "Why": Did the customer cancel? Was it a duplicate entry? Was it shipped but never officially closed or invoiced in the system?

Close, Void, or Cancel: Don't just delete them if you want a clean audit trail. Officially update the status to "Closed" or "Canceled" depending on your software (like QuickBooks Online).

Set a Monthly Routine: The easiest way to manage clutter is to prevent it. Make a quick 15-minute review part of your end-of-month checklist.

Clean data means better business decisions! If your books or inventory systems are feeling a little cluttered and you need a hand streamlining your workflows, let’s chat.
