Unpaid invoices are an unpleasant fact of life for many small businesses - they create cashflow pressure and stress.
These unpaid invoices are REAL assets, so don’t give up on them - act quickly !!
Or, if you simply don’t have the time or resources to follow up on unpaid invoices, and feel uncomfortable about doing it, then give 2plus2 Bookkeeping a call. We can set up a communication and alert system, make those painful calls for you, and get your cash flowing back in.
Here are a few tips on how to chase overdue payments:
#1 Send statements – statements are a great way to prompt customers to pay up; they can see all their outstanding invoices at a glance. Make sure you offer convenient payment methods.
#2 Use auto reminders – automated courtesy reminders are a gentle nudge to see if an invoice has been overlooked, and are often enough to get the invoice paid. A word of advice though - make sure you have checked off all your bank transactions BEFORE sending reminders (no-one likes to get an email saying they haven’t paid, when in fact they already have!!)
#3 Pick up the phone – don’t beat around the bush with email reminder, after reminder, after reminder. Call and speak to your customer; find out directly why the payment hasn’t been made and how much they can pay today. Often a call is all that is necessary to get things resolved, and it can preserve customer relationships.
#4 Unfortunately, there may be some who don’t respond to all your attempts. The next steps are to send a formal Letter of Demand or consider using a Debt Collection Agency. There are rules and regulations around both of these options, and did you know you can actually face criminal penalties if you break consumer protection laws in trying to recover a debt?
#5 Don’t forget to always note your customer’s file with a contact log, and stick to your battle plan – polite persistence is the key.
