HOPE Volleyball SummerFest
Since 1981, HOPE Volleyball SummerFest has been supporting local charities with the proceeds from its volleyball tournament held each July at Mooney’s Bay Beach.
This year, Children at Risk, Ottawa is honoured to be one of 4 HOPE’s recipient charities and we are thrilled to be receiving funding for our initiatives!
In return for the support, we are required to provide volunteers for 50 shifts to help with the smooth running of the event. Your time and assistance are needed on Saturday, July 11th!

• The minimum age to Volunteer is 16 years old. 15-year-olds may be accepted if they are working on the same shift as a parent or guardian.
• ALL Volunteers will receive a Lunch or Dinner Meal (for the later shifts). Parking Lot Monitors will have a box lunch delivered, Scorekeepers and Site Maintenance will be able to access the on-site BBQ – again except for the Shift 2 of Site Maintenance – who will get a Pizza supper in the evening.
• Volunteer Orientation session is on Wednesday, July 8th (6:30 or 7:30 PM, but note that Parking monitors will have only one session at 6:30 PM)
• DO NOT register to Volunteer on the HOPE Website – Volunteers associated with the Charities will be registered by the Event Team

Parking Lot Monitors
Shift 1: 06:30 – 11:30 (16 volunteers)
Shift 2: 11:00 – 16:00 (14 volunteers)
Scorekeepers
Shift: 12:00 - 17:00 (10 volunteers)
Site Maintenance Bar / Beach
Shift 1: 11:00 – 16:00 (2 volunteers)
Shift 2: 15:00 - 20:00 (8 volunteers)
Descriptions:
Parking Lot Monitors
Volunteers will be assigned to various parking areas of the event (Canada Post lot, Mooney’s Bay Beach lot, Terry Fox Athletic Centre lot, or Hogs’ Back Marina Lot).
Activities and responsibilities include:
• Greet motorists and indicate where drivers may park their vehicles, drop-off, etc.
• At lots with a parking pass requirement, assist security in verifying motorists have the correct parking pass
• Assist security with turnaround area to ensure vehicles without parking passes drop off only
• At certain lot(s), volunteers will collect a fee or donation using Point-of-Sales (POS) devices
• At all lots, volunteers will circulate through the lot, with garbage bags and gloves, picking up refuse and cans for recycling.
• Other duties may be assigned by the Parking Committee
For this area, volunteers may bring folding chairs, portable shade, etc. for comfort while on breaks.
Note – a member of the HOPE Planning Team will be circulating the entire day to oversee operations and the collection of fees.
Scorekeeper
Scorekeepers keep track of match scores for players on Competitive or Corporate courts. No experience is required – training will be provided.
Please note that volunteers will not be expected to referee. Activities and responsibilities include:
• Have an understanding of HOPE tournament rules. Training will be provided (Rules and regulations are also available on HOPE website – www.hopehelps.com/player-faqs-and-rules )
Each Court will be provided a hardcopy for each scorekeeper to have. Players will also have a copy in their team kit.
• Scorekeepers will remain at one court for their shift - should they need to leave for bathroom breaks or have lunch then they can ask court runners to ask to be relieved. The committee also has mentioned that they would like to have 2 scorekeepers per court to make it easier . When signing up 9- if you have a duo who would like to be together, let me know!
• The Scorekeeper Committee will be available at all times to provide support and oversight on event day and there will be a Head Referee who will be at Volunteer Orientation Night.
• Scorekeepers make sure the generic score sheet is filled out. All necessary information will be provided
• Scorekeepers start, and end, games on time, as dictated by the on-beach announcements
• Scorekeepers award points to the appropriate teams on the score sheet provided and ensure both Team Captains sign off on the final score
• Scorekeepers ensure each score sheet is returned to the scorekeepers’ tent immediately after game is over to be entered into the computer system
Site Maintenance
Volunteers will work in pairs (register with a friend!) Activities and responsibilities include:
• Clean up the beach and parkland by picking up refuse and cans for recycling
• Monitor garbage cans situated throughout the site, and let the CUBES employee know if attention is required
• Clean-up in the VIP and licensed areas may be required (volunteers must be a minimum of 18 years old in the bar areas)
• other site maintenance duties as may be assigned by the Logistics or Greening Committees
For this area, volunteers should wear closed-toed shoes for safety. HOPE will provide gloves. You are welcome to bring your own gloves if desired.
VOLUNTEERS
• All volunteers are requested to attend an Orientation session at the Volunteer Orientation Night on Wednesday, July 8th at the Volunteer Tent at Mooney’s Bay Beach (see specific times below).
• A parking pass for the Canada Post parking lot will be emailed to you closer to event day. There will also be a staffed bicycle compound on site (park for free with your pass). If you park at Canada Post, plan on a 10–15-minute walk to get to the site.
• Please dress appropriately for the weather as you will be outside for the duration of your shift on Event Day. The event goes on rain or shine.
VOLUNTEER ORIENTATION NIGHT
• is Wednesday, July 9 – For most volunteers, there will be 2 sessions - 6:30 pm or 7:30 pm. Please choose the session most convenient for you.
• PARKING LOT MONITORS:
o There will be only 1 orientation session at 6:30 pm, followed by an off-site tour.
o Following the general group Orientation for all volunteers, meet the PARKING crew at the Mooney’s Bay Parking lot to hop on a bus for a parking lot site tour.
• SCOREKEEPERS: Meet the SCOREKEEPER crew for a briefing/site tour following the group Orientation.
• SITE MAINTENACE: Meet the LOGISTICS crew for a briefing/site tour following the group Orientation.
EVENT DAY CHECK-IN
PARKING LOT MONITORS
• Volunteers will receive their parking lot assignment closer to the event.
• IF you require a more sedentary Lot – let me know you need Canada Post.
• On event day, please report directly to your assigned parking lot at the beginning of your shift, and a HOPE Planning Team member will bring your T-shirt at the start of the shift, lunch, and water throughout the day.
• Volunteers may bring a folding chair or portable shade for comfort.
SCOREKEEPERS & SITE MAINTENANCE Volunteers:
• On event day, please report to the Volunteer tent at least 30 minutes prior to your shift to receive your T-shirt, lunch voucher, and to be assigned your area.
This will allow you to get your lunch BEFORE your Shift starts – as the BBQ closes early.
