Job description

We are looking for an Operations Administrative Assistant to join one of the largest distribution centres in Ottawa, ON! The Operations Administrative Assistant will need to be flexible to work in warehouse and/or the office to meet the needs of the business.

Responsibilities

- Responsible for purchase order management to ensure accurate and timely delivery of critical products and services. Ex*****on based on creating and maintaining a list of essential supplies, following corporate policies and tools including the on-line ordering module in SAP for multi-sites.
- Assist in the preparation of operating performance reports which includes gathering data creating/preparing reports, ensuring accuracy and completeness of the daily employee’s productivity tracker logs.
- Support the generation of monthly client billings through data gathering and preparation of client billing templates to ensure accuracy, timeliness and completeness.
- Ensure timely processing and accuracy of vendor payments, customer billing, month end accruals, and investigate any discrepancies for all sites assigned
- Direct support of floor level requirements such as the creation and maintenance of operating SOPs, training materials and visual management tools, system entries, etc.
- Prepare documents and presentations for internal and client meetings as requested by Management.
- Creation and maintenance of facility logs and resources (i.e., facility contracts, MHE schedules, etc.).
- Support other departments when required.

Skills and Qualifications

- Minimum of 3 years Administrative experience in the logistics field.
- Excellent organizational skills with attention to detail.
- Excellent communication skills, both written and verbal
- Proficiency in MS Outlook, Excel, Word and PowerPoint.
- Excellent written and verbal communications skills.
- Ability to work in a fast-paced, multi-tasking environment with minimum supervision.
- Continually seeks innovative ideas to increase efficiency and remove waste.

Type of employment: Full Time

Shift Time: 8am-4pm

Compensation: $21.42/hr
