Most SharePoint approval workflows have a single point of failure: one named person. When that person is unavailable, the request sits and waits. Someone has to manually intervene, reconfigure the workflow, or send an informal email chain that leaves no record of who actually approved what.
Ultimate Forms gives you two ways to handle this properly.
The first is delegation. The approver opens the form, clicks Delegate, selects another user, and hands the task off. That user is notified immediately and can approve in their place. Three clicks. No admin involved. The full delegation is logged in the approval record.
The second is group-based approval. Instead of assigning approval to one person, you assign it to a group β manager and deputy manager, for example. Both are notified when a request comes in. Either one approving is enough. When the manager is away, the deputy acts. No delegation required. No process change needed.
