Position: Junior Project Coordinator
Type: Full-time

Job Responsibilities:
• Collaborate with the sales team to prepare projects and ensure alignment with client expectations.
• Conduct Preliminary work surveys to gather necessary project details.
• Acquire client artwork and ensure all assets are in optimal condition for project use.
• Secure client approval for project plans and designs.
• Update project management software with client approvals and project statuses.
• Generate and submit permit-ready artwork and renderings for client review and regulatory compliance.
• Produce production-ready artwork for the fabrication and installation departments, ensuring accuracy and adherence to client specifications.

Qualifications:
• Prior experience is not required but is preferred.
• Proficiency in software: FlexiSign, Adobe Suite (Photoshop, Illustrator, InDesign, etc.).
• Strong organizational skills and attention to detail.
• Excellent communication skills, both verbal and written.
• Ability to work collaboratively in a team environment and independently when needed.
• A creative mindset with a keen eye for design and detail.

ADMIN 3 – Job Ad

Target Start Date: October 30, 2023

Pay Range: $28 - $34 / hour

Work Hours: 8:00 am – 4:30 pm

We are looking for an enthusiastic, self-starter with a high proficiency for QuickBooks Online (required) to handle a large segment of accounting duties. This position will also be expected to cover general administration duties in our small office. Our company culture is family-oriented and positive while always maintaining a professional posture. This person supports company culture by practicing a generative and productive work ethic. It is important to create a cheerful presentation in the home office to foster a happy and productive work environment.

ACCOUNTING: (QBO proficiency required)

ACCOUNTS RECEIVABLE
-Process and make deposits

ACCOUNTS PAYABLE:
-Process and mail out checks
-Review and verify A/P invoices and check requests
-Sort, code, and match A/P invoices
-Enter and upload A/P invoices into accounting & project management software
-Reconcile A/P statements
-Monitor customer accounts to ensure payments are current
-Research and resolve invoice discrepancies
-Correspond with vendors and respond to inquiries
-Gather supporting documentation for audits

PAYROLL:
-Collect, compile, and enter payroll data using appropriate software
-Investigate and correct payroll discrepancies
-Update employee payroll records, as needed
-Process new employees for onboarding, terminations, and promotions

GENERAL ADMINISTRATION:
-Scanning, copying, filing
-Answer phones, screen, and direct calls
-Schedule appointments
-Prepare correspondence and documents
-Update and maintain internal staff contact list
-Process incoming mail and deliveries
-Download and sort company photos
-Assist with event planning and implementation
-Monitor and maintain office supply inventory
-Perform work related errands, as needed
-Monitor and oversee maintenance of office equipment
-Organize and maintain common offices areas
