We’re looking for someone who is tech-savvy, detail-oriented, and ready to take initiative.🧑‍🏫 Basic training will be provided to get you comfortable with our systems and procedures — we welcome candidates who are fast learners and bring a strong work ethic.⸻💼 Key Responsibilities:🖥️ Office Administration & Technology: • Operate confidently on a Mac computer • Use the Numbers app for spreadsheets and data tracking • Manage company records, project documents, and digital filing • Communicate professionally via email and messaging tools • Handle mail, scanning, document prep, and other clerical tasks💰 Payroll & Bookkeeping: • Process bi-weekly payroll through ADP • Manage invoices, payments, and expenses in QuickBooks • Track job costs and assist in maintaining project budgets📆 Project & Scheduling Coordination: • Schedule installation crews and coordinate project timelines • Work closely with field supervisors and project managers on daily scheduling and site logistics • File and manage jobsite paperwork, including site access forms and vendor compliance documentation • Assist with project budgeting and cost tracking • Follow up daily with team leaders to monitor progress and updates • Maintain internal calendars and coordinate meetings and site visits🤝 Team & Customer Communication: • Serve as a communication bridge between the office, field teams, clients, and vendors • Respond to calls and emails promptly, including some after-hours and weekend availability for time-sensitive matters • Provide timely updates to customers regarding scheduling and project milestones • Prepare reports and documentation for leadership and client review🧑‍💼 Executive Assistance & Support: • Support the President of Operations and Project Management Team with administrative tasks and follow-up • Assist with strategic task management, action tracking, and internal project support • Help coordinate meetings, prepare agendas, and manage task lists⸻✅ What We’re Looking For: • 2+ years of experience in administrative or operations support • Proficient with MacOS, ADP, and QuickBooks • Highly organized, dependable, and detail-oriented • Strong multitasking and communication skills • Comfortable working independently and handling confidential information • A positive team player who is ready to grow with the company • Willingness to work outside regular hours when needed (some early mornings, evenings, and weekends) • Basic training will be provided — a strong work ethic and willingness to learn is key!⸻🌟 What You’ll Gain: • Opportunity to be part of a growing, reputable company • Direct involvement in high-level operations and project success • Supportive team environment with long-term growth potential • Hands-on training, career development, and mentorship • A chance to contribute meaningfully to the company’s daily performance⸻📧 Interested in Joining the Nebo Express Team?📩 Email your resume to:[email protected]’re looking for someone who’s ready to step up, stay organized, and make a difference in a high-performance environment.
