Vietnam Veterans - The VA has begun processing claims for the 3 new presumptive conditions linked to exposure to Dioxin-based Herbicides to include Agent Orange.

These conditions are Bladder Cancer, Hyperthyroidism and Parkinsonism.

As of today, the VA has received approximately 79,000 claims and has completed about 3,600.

To be compensated, a veteran must have served in Vietnam between 1955 and 1975, or in the territorial waters (BWN) and have at least one of these conditions diagnosed.

Please remember, Presumptive Service Connected must meet the following conditions:

Service in one of the defined areas within the dates listed AND a diagnosed condition liked to Agent Orange.

POSITION DESCRIPTION

TITLE: Administrative Assistant, VFW Oregon Service Office

NATURE OF WORK:

The Administrative Assistant supports the staff of the VFW Service Office by providing reception, administrative, and clerical support to successfully carry out the duties of that office, to ensure the accurate and timely processing of the claims and appeals of the Veterans.

TYPICAL DUTIES AND RESPONSIBILITIES:

Applicant must have a working knowledge of Microsoft Office, including MS Excel, Outlook, and Word. Type correspondence, data entry, reports, to include proofreading, editing, printing, scanning, and/or mailing.

Applicant must understand and adhere to the confidentiality of veteran personally identifiable information (PII) and ensure all documents with PII are disposed of properly for shredding.

Maintain monthly Service Office activity reports, and statistical report of annual recoveries from records. Maintain office files.

Enter all information on awards and decisions made by the VA on a veteran's claim activity into the Vetra-Spec computer case-tracking system.

Be responsible for incoming and outgoing mail and ensure proper distribution.

Perform general reception duties to include referring claimants to proper staff member, receive all calls, screen calls, maintain call log, and take messages to ensure effective, timely response, and set timely appointments.

Responsible for maintenance of adequate stock of office supplies to ensure necessary materials are on hand.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Position requires ability to pass Department of Veterans Affairs (VA) and Veterans of Foreign Wars (VFW) background check, and completion of VA cyber security training.

Position does not require VFW membership eligibility. Veterans must have an honorable discharge.

High school diploma or equivalent required

Position requires proficient human relations skills to enable communication with general public; advanced organizational skills to perform various duties including preparation of statistical reports to ensure the efficient operation of the VFW Service Office; proficient manual skills required for operation of computer, to include Microsoft applications and other general office machines.

SCOPE OF POSITION:

The Administrative Assistant reports to the Service Officer. There is no supervisory responsibility. May make limited decisions regarding own work with latitude to decide when tasks are to be performed. Typically, decisions are made in determining task priorities
on daily basis. Must be able to work independently and be a self-starter.

Must be able to multitask.

The Administrative Assistant:

1. Is the first contact a veteran / claimant makes when visiting the RO. The Administrative Assistant is critical for that first impression
2. Maintains a visitor and a phone log.
3. Ensures all information relative to a veteran's claim is entered into the computer database.
4. Ensures the accurate completion of monthly activity reports.
5. Other duties as assigned by the Service Officer

WORKING CONDITIONS:

Work is in a normal office environment. The Administrative Assistant may be required to telework from home with periodic visits to the Regional Office to check mail and phone messages.
