✅ Use 'Start Date', 'End Date', ‘Assigned To’ and ‘% Assigned’ columns in every project. These are your anchor points for understanding who’s doing what—and how much of their time is spoken for.

✅ Click on 'Resource Management' on the right side of your project plan and enable 'Track Workload'. This activates a visual dashboard that shows if anyone is over-allocated across all their projects.

✅ Look for the little red person icon—that’s Smartsheet’s way of flagging when someone’s stretched too thin. Click into “Project Resource View” to see the full picture and adjust.

✅ Communicate early. This system doesn’t just flag problems—it’s a tool to guide better conversations between project managers, team leads, and stakeholders.
