Our client is a property development company specializing in bringing affordable housing to communities throughout Ontario, Canada. The Office Administrator is a Doer who has excellent organizational and communication skills, pays attention to detail, and can work comfortably in a fast-paced environment.
Key Responsibilities:
• Effectively maintain office administration including but not limited to managing calendars, organizing internal and external meetings, maintaining company filing system (electronic and physical), accepting/screening/routing calls, and email, and taking reporting messages.
• Organize and maintain home sale information including signing dates, deposit dates, closing dates, buyer information, etc. for multiple projects.
• Prepare Agreements of Purchase & Sale and related amendments using templates.
• Liaise with sales team and purchasers to coordinate completion of agreements, amendments, and submission of home deposits.
• Record meeting minutes for regular weekly team meetings.
• Prepare a weekly sales summary report for internal team.
• Overall responsibility for the office including stocking supplies and ensuring office equipment is in good working order.
• Receive and process all mail and courier and ensure all outgoing mail is properly addressed, prioritized, stamped, and sent on a timely and accurate basis.
• Provide and maintain courteous, professional, and efficient service to purchasers, consultants, contractors, and others by responding to requests for information and redirecting inquiries to team members as needed.
• Answer inbound calls professionally and courteously directing calls to team members as needed.
• Coordinate with accounts payable team to set-up and process bi-monthly cheque runs.
• Update company website with new release information and project status updates as needed.
• Liaise with purchasers and legal team to prepare home closing documents.
• Draft and edit communication in the voice of the company. Resolve time-sensitive issues with a high degree of precision and professionalism.
• Handle multiple tasks, switching priorities and focus as needed.
• Perform and prioritize special projects as directed; handle confidential and sensitive information. 'No task is too small' approach.
Qualifications:
● 3+ years of experience in an administrative role
● Proven ability to effectively prioritize and work on multiple projects in a deadline driven environment
● Excellent, professional customer service and respond to requests quickly under pressure Proactive problem-solving skills; must be able to collaborate with others at all levels of the organization
● Excellent Microsoft Office skills, to include Outlook, Calendar, Excel, and Word.
● Excellent Adobe Suites skills, to include Abode Acrobat.
● Strong verbal and written communication skills
This is hybrid role, with 70%-80% of time in office
